Communications and Office Coordinator for Springville First United Methodist Church

To help our office be a strong hub for communication of the ministry and mission of S1UMC, this position works across our programs and leaders to communicate the happenings of the church through a variety of communication platforms. The individual in this position will have a knowledge of both printed and digital media, along with an eye for design and a growing desire to connect people with mission and ministry through information and invitation.

This position is estimated to take 15 hours a week and will be compensated at $18-20 an hour with 30 hours of vacation time and 30 hours of sick time annually. A list of paid holidays will be provided. The ideal candidate will be able to manage their time well and be able to work around people stopping by the office and phone calls. This aspect of the coordinator’s role will require a knowledge of our leaders and various responsibilities. It is not for the coordinator to have all the answers that may come through the office, but an awareness of who to direct questions or funnel information to.

Administration: Traditional office work including answering the phone, monitoring email, distributing mail, filing and record keeping, purchasing supplies, being available to visitors/ministry leaders who stop by, receiving packages and building/equipment inspectors, etc.

Communications:
• Be familiar with design programs such as Canva
• Be familiar with updating/editing/maintaining an already built website (or able to learn)
• Create, publish and distribute a monthly newsletter both digitally and in print
• Maintain and grow S1UMC’s media presence through Facebook and other social media.
• Provide information for upcoming events in JPEG format for the media director to insert into slides, which will be shown Sunday mornings prior to worship.
• Create and schedule a weekly email sent at 8am Sunday morning using Mail Chimp (along with keeping an up-to-date email list)
• Create a weekly bulletin that includes a cover photo, the order of worship, calendar events, announcements obtained from the newsletter and communication with leaders, and prayer requests
• Email and print the scripture and call to worship for the scheduled worship leader
• Post upcoming events to the bulletin board in the main entry
• Ensure that the church outdoor sign is up-to-date and advertises events open to the community.
• Connect with various leaders to publish a monthly narrative budget that highlights our church spending in different ministry hubs.
• Create and provide a connection card in each bulletin and review the cards turned in for new contact information, prayer requests and comments/feedback

Branding: Church communications should have a unified look and design to them. The church logo and our mission statement should be included regularly in communications. Short-term graphic representations for church liturgical seasons or worship series should also be used as appropriate in communications.

Facility Use & Church Calendar: Our facility is open to various ministry groups as well as outside groups in the community and requires coordination with various staff and volunteers to keep things running smoothly. The Office Coordinator will work with the building use facilitator to keep an online calendar updated in order to avoid conflicts.

Denominational Reports:
The Office Coordinator will keep records throughout the year of baptisms, funerals/deaths, weddings, online attendance, and changes to membership through confirmation, profession of faith, or transfer of membership. This information will be used in various reports due throughout the year. The coordinator will assist the pastor and leaders in completing these reports and meeting deadlines.

Available to Assist S1UMC’s Ministries: In addition to these specific tasks, the office coordinator is also available to assist all ministry leaders with any tasks they may need help with (mainly printing/making copies, occasionally creating a sign or bulletin insert/announcement).
